- Login to your AEFIS Site.
- Locate the Action Items Dashboard that slides out on the right side of the page upon login. If it does not appear, you can select the bell icon in the top right to open it manually. Once you have it opened, select the blue pencil located next to the Direct Assessment for your course section(s).
Located near the top of the opened Assessment Form, you will see a message with two options to select. Please select “No, create the assignments for me”. Then, a pop-up will appear showing each of the rubric levels. Should you wish it, you can decide to change the sliders of performance percentage levels or leave them at their defaults as shown in the image. If not, just press the blue Save button to keep the defaults.
Press the blue Grade Assignments button. You will be brought to the Assignments page within the specific course section you chose. Next, we will go to the area where evidence (student work samples) can be submitted. While still within the course section, find the Assignment Samples section (located two down from Assignments in the left-hand menu).
From here, select the blue plus button in each “bucket” that corresponds to the 2+ rubric levels and the rows correspond to each performance indicator being evaluated (ex. A - a.1). Then you may select the center of the pop-up with the label “Drop Files to upload”.
You may select multiple files from your computer at the same time (use Shift+click for multiples). Press Open, after which you will see all the selected files loading. Once each has finished (a faded checkmark will appear over the doc), you may select Close. You will now see something similar in the Assignment Samples buckets, which are accessible at any time in the course section using Preview and Delete.
Navigate back to the Course Section - Assignments page either by selecting from the left-hand menu, or by selecting the bell icon in the top-right, the blue pencil for your Assessment, and the blue Grade Assignments button. You will be brought to the course section “Assignments” page where you will see something similar to the screenshot below; an assignment created for each performance indicator. Open the Assignment Grading drop-down button in the top right and select “Download Grading Template”.
- Select the Excel template format option, then “Next”.
Select the large “Download” button that appears on the next page. Then close the File Download notice pop-up that appears. When the Excel file is prepared, it should display as downloaded on the bottom of the screen.
Enter the scores (out of 100) into the performance indicator columns highlighted in the screenshot below. Example: The 1-4 “bubble” values directly scales to the 0-100 (i.e. 1=0-39, 2=40-59, 3=60-79, 4=80-100). The bubble value scales were set back in Step 3. Once you have completed the value entry, you may save the template using a file name you will remember.
! Note if you are going to use copy and paste into this template, you MUST make sure to paste the values only (do not include the formatting in your paste). !
- Go back to the open AEFIS Assignments page. Now select the same dropdown, this time selecting Import Grading Template. Press the large “Select File & Upload” button. Find your file and press “Open”. You should now see the following green check marks, after which you can press “Next”.
- Press the large “Import Data” button. Then press the blue “Finished” button.
Your spreadsheet data entry is now complete! To view your submitted data, you may locate the Course Section - Assessment Form section (three down from Assignments in the left-hand course section menu. Once here, select the blue View Form button to the right of the active Spring Term Assessment.
